How much time passes between a prospect's request and the receipt of your quote? For the average French SME, this is generally counted in days, sometimes in weeks. This delay, which seems acceptable in the company's routine, is in fact a major determinant of sales performance. The quote is not an administrative document you prepare when you have time. It is the first act by which your company keeps, or fails to keep, its promise of commercial responsiveness.

The Effect of Speed on Conversion

Behavioral studies on B2B purchasing converge on one finding: the probability that a prospect signs a quote falls quickly with the time elapsed since their request. A quote delivered within twenty-four hours converts two to three times more often than a quote delivered within a week. Beyond two weeks, the probability of signing collapses, as the prospect has often meanwhile consulted a competitor, changed priorities, or simply lost the initial momentum.

This mechanism is well known but largely under-exploited. Most SMEs continue to operate with quote production cycles measured in days rather than hours. The reasons are varied: quotes that are complex to put together, required hierarchical approval, waiting for purchase price information, lack of reusable templates, plain disorganization.

The consequence is measurable. An SME that cut its average quote production time from four days to one would typically see its conversion rate increase by fifteen to thirty percent. On revenue of several million euros, the financial effect is considerable.

Structuring the Quotation Process

Industrializing quote production without sacrificing quality means structuring the process around a few simple principles.

First principle: pre-built quote templates. For the most frequent configurations of your offering, you must have ready-to-use templates that populate automatically from the salesperson's choices. This upfront preparation may take a few days; it saves you hours on every quote produced afterwards.

Second principle:

  • structured product libraries.
  • The salesperson building a quote must be able to select products from an up-to-date list, with their price, description and characteristics.
  • No copy-pasting from old proposals, no searching through obsolete Excel files.

Third principle: controlled discounts and terms. Rather than letting each salesperson negotiate on their own, the company defines rules: possible discounts by volume, by customer category, by contract length. The salesperson applies these rules, which speeds up production without eroding margin.

Fourth principle:

  • electronic signature.
  • The quote sent must be signable by the customer in a few minutes, with no printer, no scanner, no postal return.
  • In Odoo, this online signature is native and legally binding (European eIDAS regulation).

The Importance of Sales Traceability

A quote is not a document thrown into the wild. It is a commercial commitment that deserves to be tracked throughout its life cycle. In Odoo, each quote sent triggers a series of useful traces. You know what time the customer opened the email. How many times they viewed the document. Whether they forwarded it to a colleague. At what point they set about signing or requesting changes.

This traceability changes the quality of sales follow-up. Instead of sending a generic reminder email three days later, the salesperson can step in at the right moment: the morning the customer has just viewed the quote for the third time, or a few hours after they forwarded it to a decision-maker. This sense of timing multiplies sales effectiveness.

Document Compliance

The quote is a document with quasi-contractual value. Once accepted, it binds the seller on price, terms, lead times and scope. This legal weight demands rigor in drafting. Mandatory statements (seller identity, applicable general terms, validity period), precision in the wording of services, specific clauses depending on any regulated sector.

In Odoo, quote templates include these mandatory mentions consistently. No more risk of omission, no more variations between salespeople. Document compliance becomes a standard rather than an exhausting vigilance.

Quote-to-Order Conversion: Leak or Lever

When the customer signs the quote, two scenarios are possible. In the first, the signed quote is printed, passed to administrative staff, re-keyed into the management system as an order, and processing begins. This double entry is slow, error-prone, and frustrating for sales teams who see their work slowed down by an administrative step.

In the second scenario, the signed quote automatically becomes a sales order in the ERP. No re-keying. Stock is allocated, delivery is planned, invoicing is anticipated. The customer promptly receives an acknowledgment confirming that their order has been taken into account.

The difference between the two scenarios is not just a difference in administrative productivity. It is a difference in quality as perceived by the customer. The modern customer expects their purchase decision to immediately trigger concrete actions. The delay between signature and actual processing has become a friction point that needs to be eliminated.

The Strategic Importance of Sales Acceleration

For French SMEs and mid-sized companies that want to gain competitiveness, accelerating the sales cycle is one of the most powerful and least costly levers to pull. Reduce quote production time. Improve the conversion rate. Eliminate friction between signature and processing. These gains are accessible to any company that structures its sales process with modern tooling.

ANOR supports this structuring by combining functional analysis of the sales cycle, Odoo configuration, and coaching of sales teams in a new working discipline.
