French accounting has entered a new era. The widespread adoption of e-invoicing, the broadening of the accounting entries file, and the automation of tax returns are profoundly transforming a function historically organized around manual entry and after-the-fact control. For French SMEs and mid-sized companies, this transformation is both a compliance challenge and an opportunity to reposition the accounting function at the heart of strategic management.

Accounting data entry, a disappearing legacy

For decades, the work of the SME accountant was dominated by data entry. Entering supplier invoices received. Entering customer payments. Entering bank entries. Entering miscellaneous operations. This time-consuming activity, which made little use of skills, took up most of the accounting teams' time and limited their ability to devote themselves to higher-value activities.

The gradual automation of these tasks radically changes the function. E-invoicing eliminates entry of supplier invoices. Automated bank imports eliminate entry of statements. Native synchronization between Odoo's modules eliminates revenue entries from the sales modules. When all these automations are in place, the accountant hardly enters anything anymore. They check, adjust, and above all analyze.

This change in the nature of the accounting function is one of the most significant transformations of the profession since the appearance of accounting software in the 1980s. It cannot be reduced to a productivity gain. It calls for a redefinition of the role of accounting in the company.

Accounting as an automatic mirror of activity

In Odoo, accounting is not an isolated module that receives its data through flows. It is the automatic, real-time reflection of all operational activity. A sale entered in the Sales module immediately generates the associated accounting entries (revenue account, VAT, customer account). A validated supplier invoice generates the corresponding entries (expense account, deductible VAT, supplier account). An imported bank transaction is automatically reconciled with the relevant invoice.

This native integration changes the economics of accounting. Accounting data is no longer produced by re-entry after the operational event. It is inseparable from the event itself. Consistency is guaranteed by design.

For finance departments, this change brings a revolution:

  • financial statements are available in real time.
  • No more waiting until the 15th of the following month to know the previous month's result.
  • The income statement updates daily.
  • The executive dashboard can run the business on fresh data rather than on ancient history.

The challenge of the accounting entries file

The accounting entries file (FEC) is one of the major obligations of French accounting. At the request of the tax authorities (audit), the company must produce a structured file containing all of its accounting entries for the fiscal year, in a precise legal format.

This obligation, in force since 2014, has transformed French accounting practice. It assumes that accounting is computerized on software able to produce a compliant FEC. It assumes that all entries are recorded in this software and not scattered across auxiliary media (Excel, paper).

Odoo natively produces the compliant FEC. This compliance is regularly checked by successive releases of the software. For French SMEs, it is a valuable technical guarantee that eliminates a risk in case of audit.

VAT returns and other social and tax filings

  • Beyond the FEC, Odoo natively handles the main French filings
  • The VAT return (CA3 or CA12 depending on the regime) is produced automatically from the entries
  • Any adjustments (entry corrections, specific deductions) can be entered
  • Transmission to the tax authorities via the dedicated portal is possible by export or by direct integration depending on configurations

Other filings are also handled: the European goods declaration (DEB) for intra-community transactions, the annual declaration of social data (DAS2) for payments to professionals, the intra-community VAT return for cross-border B2B transactions.

This native coverage avoids often costly add-on modules and redundant entries. For SMEs that want to stay compliant without burdening their administrative management, it is a tangible advantage.

The new role of the accountant

When entry is automated and returns are produced by the software, what is left for the accountant? A lot, in fact. But different activities from yesterday's.

Quality control. Checking the consistency of automatic entries, handling exceptions, correcting anomalies. This activity becomes more demanding as volume grows, because isolated anomalies in the mass require increased vigilance.

Analysis. Reading financial statements, identifying trends, explaining variances, feeding the dialogue with management. The accountant becomes an interpreter of data, a partner in strategic management.

  • Tax and social governance
  • The complexity of French regulation continues to grow
  • The accountant is the guarantor of compliance, able to weigh the possible options and anticipate changes

Optimization. Beyond simple compliance, identifying the levers of financial performance: margin per product, productivity per cost center, analytic allocations. This fine-grained analysis was not possible with yesterday's accounting. It becomes accessible with automated accounting.

Dialogue with accounting firms

For SMEs that outsource part of their accounting to a firm, Odoo offers a suitable collaboration mode. The firm accesses the company's Odoo instance with specific rights. It can view, adjust, and validate entries, and produce the official statements. This native collaboration avoids file transfers, re-entries, and version discrepancies.

For the firms themselves, this way of working is increasingly requested by their SME clients who no longer want to put up with the constraints of traditional tools. Firms that have evolved their practices are ahead of competitors who remain attached to old practices.

A transformation to lead

For French executives of SMEs and mid-sized companies, modernizing the accounting function is a transformation to be led with care. It involves technical upgrading of the tool, training of teams, sometimes revising the relationship with the accounting firm, and always a redefinition of the role expected of accounting in the company.

This transformation is one of the most profitable that management can undertake. The administrative productivity gains are immediate. The gains in management quality are lasting. Compliance with the new obligations is secured. For companies that want to professionalize their financial management without bloating their structure, it is a project to put at the top of the executive agenda.

ANOR supports this modernization by combining functional audit, Odoo configuration, dialogue with the accounting firm, and change management.
